Terms of service

The terms that apply when your organisation signs up for and uses Affinux.

About these terms

These terms are an agreement between Affinux LLC (“Affinux”, “we”) and the organisation that uses Affinux (“you”). They apply from the moment you start a free trial or create an account, and they cover the app at app.affinux.com.

Affinux is for organisations, such as charities, care providers, membership bodies and businesses, not for personal use. If you accept these terms for an organisation, you confirm that you are allowed to do so.

Your account

  • Give accurate details, and keep passwords, passkeys and recovery codes safe.
  • You are responsible for what happens under your organisation’s accounts, unless we caused the problem.
  • Your admins decide who can join your workspace and what each person can do.

Plans, trials and payment

  • Free trial. Every plan starts with a 7-day free trial, and no card is needed. When it ends, choose a plan to keep going.
  • Paying. Plans are paid monthly in advance, and renew each month until you cancel. Fees are in pounds sterling. While we are not registered for VAT, no VAT is charged. Once we are, VAT is added at the current rate.
  • Changing plan. An upgrade starts straight away, and you pay the difference for the rest of the month. A downgrade starts at your next renewal.
  • Add-ons are billed with your plan, on the same terms.
  • Price changes. We email you at least 30 days before a new price applies, and you can cancel before it does.
  • Refunds. We don’t refund part-used months, unless the law requires it or we agree otherwise.

Your data

The records you keep in Affinux belong to you. We use them only to provide the service, on your instructions, as our privacy policy describes. You can download your records as CSV files at any time.

You are responsible for having a lawful reason to hold and use the data you keep, including special category, criminal offence and safeguarding information.

Acceptable use

You must not:

  • break the law, or use Affinux to harm children or vulnerable people
  • message people without the consent or other lawful basis you need
  • probe, overload or interfere with Affinux or other customers
  • share sign-in details, or try to get into another organisation’s workspace
  • upload malware, or content you have no right to store

We may suspend an account that breaks these rules.

Availability and support

We work to keep Affinux available, but we can’t promise it will never be interrupted or free of errors. We tell you about planned maintenance where we can.

Ending your subscription

You can cancel at any time. Your plan runs until the end of the month you’ve paid for, and then stops.

After that, your workspace is read-only for 14 days, so you can download everything, and then it locks. We delete its data 90 days after it locks. We email your owners and admins when it locks, 30 days before deletion and 7 days before.

If a payment fails, we tell you and try again. If it is still unpaid after 14 days, your workspace becomes read-only, and it locks 14 days later. Paying what you owe restores access straight away.

Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow us to limit.

Otherwise, we are not liable for indirect or consequential loss, lost profits or lost data, unless it was caused by our failure to take reasonable care of the systems we run. Our total liability in any 12 months is limited to the fees you paid us in that time, or £1,000 if you paid nothing.

Changes to these terms

We may update these terms. We email you at least 30 days before an important change applies, and you can cancel before it does. The date at the top shows the current version.

Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales deal with any dispute.
